Tenant Window

 
Tenant Basics

 

 

 Click on the button marked "Tenant Records" at the bottom of the main window. The Tenant window will appear.

 

 At the top is a drop-down menu to select Tenants that are in your database.

 The tenant's information can then be viewed/entered in fields below this drop-down list.

 At the bottom is a row of buttons that are used to enter records, delete records, save the records, and view all of the tenant records that you have entered.

 

 

 

 

Adding Tenant Records

Enter A New Record

  Click on the Enter A New Record button. This will highlight the Building dropdown box where you can select the building where the tenant lives.

  You either click in the other fields or use the tab key to go between the different fields.

  Building, first name, last name, and rent amount are the only required fields!

 

Save This Record

  Now we need to save the information that we just entered. You have the option of selecting Save This Record and Close. This will save the information and then close the Tenant window and return to the main window. The Save This Record button will save the information and leave the Tenant window open so you can continue working.

  If you have multiple Tenants to enter you can click the Enter A New Record button to save the information and open another new record at the same time.

 

  Hint: If you entering an tenant that has an identical last name as someone already in the system, it will help to distinguish between the two if you append the middle initial, a number or other info to the last name. (ie. J. Smith, M. Smith, etc.) or (Smith1, Smith2, etc.)

 

 

 
 
 
Editing Tenant Records

Find a Tenant(s) Records

  Click on Add/Edit Tenant Records in the Main window.

  At top of the Tenant window you will see a box labeled "Find an Tenant". Use the arrow to open a drop down screen and choose the Tenants name that you want to edit.

  The related information will be filled into the fields.

  You can then use the tab key or click in the field(s) that need to be edited.

 

Save This Record

  After all the information has been edited, press on either Save This Record and Close or Save This Record if you would like to continue work in this window.

 

 

 

 
 
Deleting Tenant Records

Find a Tenant(s) Records

  Click on Add/Edit Tenant Records in the Main window.

  At top of the Tenant window you will see a box labeled "Find an Tenant". Use the arrow to open a drop down screen and choose the Tenants name that you want to delete.

  The related information will be filled into the fields.

 

Deleting The Record

  Check to see that you have the right Tenant.

  Click on Delete This Record.

  Press Yes at the delete confirmation.

 

  Warning: Once A Record Is Deleted It Can Not Be Undeleted!!!!

 Note: When deleting a tenant, all the tenant's payments will be deleted as well. And once they're deleted, they cannot be undeleted! ! If you need this information for year end taxes, make sure that you have it backed up elsewhere! You may want to keep the old records and marking them as old. One method is to check the "moved out" checkbox in the tenant window. This will save the data, but give you the option to hide the tenant in drop down lists. You can hide/unhide by going to View -> Hide Moved out Tenants in the main browse window.

 

 

 

 

Viewing All Tenant Records

Displaying Tenant Records

 Click on Add/Edit Tenant Records. After the Tenant window opens, select View All Records from the bottom of the window.

  All the Tenants and their information will be displayed in column format.

Editing Tenant Records

  You cannot make any changes to the data displayed.

  To edit these fields see Editing Tenant Records.

  You may reorder the records relative to the heading by clicking on a column heading.

  If recent changes to the Tenant records are not displayed, click on the Refresh button at the top left of the window.

  Click Close button to close this list.
